The Complete Guide to Wedding Catering

Published on: June 29, 2026

Having catered weddings of all sizes up and down the country since we started back in 2011, it’s safe to say the team here at Social Pantry know a thing or two when it comes to providing the perfect wedding food for our client’s big days. Here we’ve put together a guide to help you choose your wedding caterers with confidence.

Your wedding food should be more than a meal—it should be an experience. This is the first shared meal you’ll enjoy as a married couple, and, let’s face it, one of the most talked-about parts of any celebration (at least in our circles)!

From the first tray of canapés post-ceremony to that final cocktail at midnight, great wedding catering creates unforgettable moments for your guests. It’s also a chance to showcase your personality as a couple, whether that’s opting for a refined three-course meal, or something totally unconventional.

The role of your caterer goes far beyond just cooking. We help craft the timeline, manage the service flow, keep the drinks topped up, and ensure your guests feel looked after for the entire celebration. At Social Pantry, our team works with couples to bring their vision to life with thoughtful touches, from bespoke cocktails inspired by your honeymoon destination, to menus built around seasonal produce from local farms.

Whether you’re going for trendy or traditional, there are countless different options when it comes to wedding food ideas. Speaking to a range of caterers can be the best way to create the ideal wedding food menu for your big day based on important factors like your budget, theme, and date.

Plated Menu

Best for: Elegant, traditional weddings
Venue fit: Indoor spaces
Wedding Size: Any size, small to large

A plated dinner is a sit-down service where each guest is served your chosen menu. It’s ideal for couples who want a classic, refined feel to their wedding reception. It’s also a popular choice because the natural pauses between courses are a great time to weave in speeches and toasts without interrupting the flow of the day.

We love this option because:

  • Feels elevated and elegant
  • Guests remain seated and comfortable
  • Great for dietary requirement control
  • Moments between courses are ideal for speeches and toasts

We encourage this style of dining because of:

  • Shared, sociable dining experience
  • Beautiful table presentations
  • Gives guests flexibility as they can pick and choose which dishes to serve themselves

Choosing The Right Menu For Your Wedding Day

Start simply by asking yourselves – what do you love to eat? Maybe you and your partner have a favourite restaurant or cuisine, a dish you bonded over on your first date, or you want to reflect your heritage through food.

Next, consider the following:

  • Bespoke Menus: We are often asked if we can create bespoke menus for our couples, and the answer is yes! Let us know what you’d like and we can make it completely bespoke to you and your love story.
  • Traditional and Cultural Options: Consider whether there are cultural or family traditions you want to honour and we can help you do just that.
  • Seasonal and Locally Sourced Ingredients: Not only is this the sustainable option, but it tastes better too.
  • Let Your Caterer Guide You: A good caterer will offer suggestions that match your venue, budget and style while elevating your vision –tell us exactly what you want and we’ll make sure that’s what you get.

Catering For Guests With Special Dietary Requirements

Dietary requirements are an important factor when it comes to picking the perfect wedding menu. Whether you want to go for more of a traditional wedding breakfast or a laidback buffet style, it’s vital that the whole wedding party is catered for, including those with allergies and religious requirements. Check that your wedding menu has a wide range of options to please every palate. Good wedding catering services will be able to come up with a range of food and original dishes to make sure any requirement is covered.

Don't Forget The Drinks

If you’ve ever been a guest at a wedding, you’ll  know that the drinks on the big day are just as important as the food.   So, don’t let them be an afterthought – craft a menu that complements your meal and matches the tone of the day.

Some ideas to consider:

  • Signature cocktails that represent you as a couple or the theme of the day
  • High-quality non-alcoholic options
  • Local craft beers and English sparkling wines
  • Post meal tea and coffee or espresso martinis for a pre-dancefloor pick-me-up
  • Water, water and more water. It may seem obvious but hydration is key. Consider dotting water stations around your venue and make sure they’re kept replenished.

The logistics of your venue will shape what’s possible with your catering. It’s always worth speaking with your caterer about what infrastructure is available already and what might need to be brought in, we have close relationships with all of our venues and can advise you on how to best plan your day to achieve your vision.

What you’ll need to consider at your venue:

Kitchen Facilities and Equipment Requirements

Not all venues come with a fully equipped kitchen, and some don’t have one at all. This is especially common with outdoor or marquee weddings, where caterers may need to bring everything on-site. Check whether your venue has: A fully functioning kitchen (ovens, fridges, prep areas, sinks); Space for a caterer to set up temporary equipment; running water and electricity (especially critical for mobile setups or food trucks). If the venue doesn’t have a kitchen, speak to your caterer early – at Social Pantry we can take care of bringing all equipment with us or even adjust the menu to suit the space.

Serving and Dining Spaces

The style of catering you choose will influence the space you need. For example, a formal plated meal typically requires more dining space and service coordination than a buffet or food station setup. Think about whether the venue has enough room to comfortably seat all guests, and whether there are designated areas for the ceremony, drinks receptions, dinner and dancing or whether you’ll need to ‘flip’ the space.

Access for Catering Staff and Equipment

Smooth access to your venue is often overlooked but can make a huge difference to how well your day runs. Important details include, but don’t worry this is what we’re here for, leave the below to Social Pantry’s expert team and enjoy your special day:

  • Vehicle access for loading/unloading equipment and ingredients
  • Parking or drop-off zones for catering vans and refrigeration units
  • Easy access to prep and serving areas from the kitchen or loading point
  • Clear routes for staff to discreetly serve and clear between courses

If your venue is in a remote location or has tricky access (think narrow roads, steps, or lifts), flag this with your caterer early so they can plan accordingly.

Venue Rules and Regulations

Some venues have a list of preferred or exclusive catering partners, so make sure you’re clear on their policies before reaching out to external caterers.

If you’re hoping to serve a barbecue or cook anything over open flames, you will need to check with the venue whether this is possible.

A well-thought out catering schedule keeps your celebration flowing beautifully, and ensures that guests’ energy levels remain high throughout the day. Here’s one of the most common wedding catering timetables we use and why it works:

Welcome Reception

This usually lasts around two hours and begins shortly after the ceremony. During this time, waiters circulate with glasses of English Sparkling and bite-sized canapés while the couple has photos taken. It’s a celebratory, relaxed part of the day where guests can mingle and settle into the occasion.

Wedding Breakfast

Typically, the wedding breakfast will follow. Lasting between 1.5 to 2.5 hours depending on whether speeches are woven between courses or delivered all at once. Guests are served their chosen meal, whether plated, feasting, barbecue or food stations.

Late Night Food

Evening snacks usually make an appearance between 9pm and 11pm, once the dance floor is in full swing. These late night bites help keep energy levels high and guests fuelled for a night of celebration. Think bao buns, mac & cheese stations and tasty carby bites to keep guests dancing into the night.

Do you have a set idea on how you envisage your wedding menu or are you open to all suggestions when it comes to ideas and inspiration? Good communication is key when it comes to considering your wedding caterer. Ensure you feel comfortable with whoever you choose to provide your catering services. A good wedding caterer should only be a phone call away, and will strive to work with you every step of the way, making sure every detail is fine-tuned to bring your wedding meal ideas to life.

It’s not just the wedding meals you need to consider when choosing which wedding catering services are right for you. There are many other factors that can impact the services you choose. As well as serving delicious wedding meals suitable for every guest’s needs, as with everything on your big day, it’s important it looks good too. The right people will be able to serve up your chosen wedding meal ideas in a creative and professional manner that fits with the overall feel of your big day.

Our top tips for selecting a wedding catering provider:

  1. Do your research: Look at online testimonials, social media and past events.
  2. Meet the Team: Arrange a call or tasting to get a feel for their style.
  3. Ask for Recommendations: Speak to friends or your venue.
  4. Understand Their Specialities: Some caterers excel in fine dining, others in more informal weddings, while some are all-rounders, like Social Pantry, that can bring any and all of your visions to life!

How food is served also matters – ask about staff uniforms, presentation, and what service styles they offer.

There’s no sugarcoating it, catering is one of the biggest expenses involved in a wedding. But it is also one of the most impactful. Costs will, of course, vary  depending on what type of catering you opt for and factors that influence pricing include:

  • Number of guests
  • Number of courses
  • Staffing needs
  • Drink inclusions
  • Equipment hire (ovens, marquees, etc.)

  • 9 months before: Book your caterer and pay a deposit
  • 6 months before: Schedule a tasting
  • 3 months before: Finalise your menu
  • 2–4 weeks before: Confirm final guest count and any special requirements

Make sure your venue and caterer coordinate ahead of time, especially if kitchen or power access is required.

From nailing the guest list to securing the contract, these are the essential steps to planning your wedding catering.

Estimate Your Guest Numbers

Knowing the size of your wedding party is essential when deciding upon your catering services and can impact on your budget and wedding food ideas. Work to a rough number of guests from the beginning but make sure there is always room for dropouts and lastminute add-ons until the day is in sight. There’s nothing worse than under-estimating the catering services you will need but over-estimating can be costly and wasteful. An experienced wedding caterer will be able to advise on the perfect quantity and suitable wedding food menu depending on the size of your party.

Put A Plan Together

Once you have a good idea of your guest list and the kind of catering style you’d like, it’s time to bring all the elements together into a clear plan. This doesn’t need to be complicated, but making a few key decisions early will help everything run smoothly on the day.

The main things to consider:

  • Venue layout and kitchen facilities – Check what’s available onsite and whether extra equipment or a mobile kitchen will be needed.
  • Menu and serving timetable – Plan when each course will be served and where speeches or toasts fit into the flow of the meal.
  • Staffing – Make sure you have the right number of chefs, servers, and bar staff based on your guest count and service style.
  • Equipment and rentals – Confirm who’s providing crockery, cutlery, glassware, linens, and table decor.
  • Set-up and logistics – Know what needs to arrive when, and who’s responsible for bringing, setting up, and collecting it all.

The good news? Your caterer should be able to help you with all of these.

Understand What Is And Isn’t Included

It’s easy to overlook the more basic requirements when you tie the knot, but they are things that wedding caterers are often able to advise on or assist with. This may include:

  • Venue decoration
  • Table styling
  • Chair covers
  • Dining hire such as plates, cutlery and glassware
  • Serviettes
  • Menu design and printing
  • Entertainment, security, lighting, PA
  • Event manager
  • Serving timeline

Secure A Wedding Caterer

Wedding contracts are vitally important when planning your big day and all eventualities should be considered. Before agreements are made and money is exchanged for your wedding catering services, make sure a contract is in place that you are confident gives you peace of mind and protection.

Here are some of the most important things to cover when meeting potential caterers, and why they matter:

Do you source locally and who are your suppliers?

A caterer who is happy to share the suppliers list shows they have confidence in their sourcing practices and the quality of their ingredients.

Do you offer drinks packages?

This will help you to plan your bar budget.

Do you charge corkage?

An important question if you want to provide your own alcohol.

Do you provide serving and bar staff?

Not all caterers include this, so it’s important to ask.

What is your staff dress code?

If you’re planning to have a specific theme or style to your wedding, you may want to make sure that the team working on the day blends in with the tone and dress expectations.

Do you provide an event manager on the day of the wedding?

At Social Pantry, we offer dedicated event planners to ensure your big day runs as smoothly as possible

Do you offer food tasting?

A tasting is a great opportunity to fine-tune the menu and get excited about what’s to come, at Social Pantry we offer tastings to all couples ahead of their big day.

How many serving staff will you have on the day?

This gives you an idea of how smooth and efficient the service will be, as well as the associated costs.

Do you offer a children’s menu?

If children are attending, a specially-tailored menu can keep them happy (and seated!).

Do you need access to a power source (if working outside)?

Understanding logistical needs in advance avoids last-minute surprises, especially for marquee or garden weddings.
