Contract Catering: Everything You Need to Know

Are you looking to implement contract catering in your office, but not sure where to start? Or perhaps you’d like to switch up the style of catering you currently have at your workplace, but aren’t sure what options are out there? At Social Pantry, we’ve been living and breathing contract catering since 2011 and are the experts at catering to what you and your workplace care about.

Here, we’ve gathered everything you need to know about contract catering, but if you’d like to know even more, contact one of our talented Workplace Partners.

What is contract catering?

Contract catering is when an external catering company is hired to manage and provide food services to organisations and businesses on an agreed-upon contract. The frequency of the catering could be daily, weekly, monthly, or a more bespoke arrangement, but as long as a set contract is in place rather than a one-off booking, that’s contract catering.

Who is contract catering for?

Contract catering for all kinds of businesses and organisations, large and small. Throughout the last thirteen years, we’ve catered workplace breakfasts, lunches, and all-day dining for major brands and businesses in offices across London.  From tech companies to finance to football teams and fashion houses, we’ve fed teams across myriad sectors. Aside from workplaces, some of our larger contracts also include being the exclusive caterer for Central Criminal Court  (the Old Bailey) and Mansion House and operating the food and beverage offering within Design Centre, Chelsea Harbour.

What are the benefits of contract catering?

Contract catering in the workplace offers endless advantages for both employers and employees and can create a positive impact far beyond the catering:

Fostering Community & Culture

At Social Pantry, we truly believe that good food in the workplace feeds a better company culture – a culture of connection that positively impacts businesses way beyond the lunch break. A well-planned catered breakfast or lunch helps employees to connect, encouraging collaboration and breaking down departmental barriers.

Enhancing Employee Wellbeing

Contract catering allows businesses to show their commitment to employee wellness, reducing absenteeism and fostering a positive atmosphere in the workplace. Providing teams with exciting meals to look forward to is a great way to boost morale.

Boosting Employee Health

At Social Pantry, we’re dedicated to creating not just delicious, exciting seasonal dishes, but also meals that deliver exceptional nutritional value. Our menus are rich in protein and plants, providing teams with the fuel they need to feel healthier and more energised throughout the day. This focus on nutrition not only supports employee wellbeing but can also lead to increased productivity in the workplace.

Attracting Talent

Studies have shown that contract catering boosts a company’s appeal to potential employees, especially Gen Z, with 81% saying an on-site restaurant would positively impact their decision to join a company (Global Eating at Work Survey 2023).

Supporting Sustainability

By choosing Social Pantry for your contract catering, your business will be gaining a catering partner that’s leading the way in sustainability. We are, and always have been, dedicated to creating delicious food sustainably, from using local, seasonal ingredients in our menus, to running our kitchen with a zero-to-landfill approach, and using electric vehicles to deliver our food. It is this commitment to sustainability that has led us to recently being certified as a B Corp.

Types of Contract Catering

There are several different types of contract catering including cost plus, cost plus guarantee, Nil subsidy/cost, fixed price/cost/subsidy, concession, Fixed cost per head/user/employee, royalty.

The type of contract catering we currently offer at Social Pantry is Free Issue Contract Catering.

Free Issue Contract Catering

Free issue contract catering for a workplace refers to when a company (the client) pays in full for catering that is provided to their employees. This means that employees are treated to, say, a breakfast or lunch in the office at no cost to them, as it has been paid for by their company. This can cover a simple drop-off service of a breakfast or lunch, or extend as far as providing all food and drinks for the workplace all day, every day, including barista coffee, cakes and pastries,  snacks and more, served to employees at the office by the caterers’ in-house team.

This is in contrast to subsidised catering, which refers to when a company puts a certain amount of money per head towards food, which is provided for employees at a reduced cost to them.

3 Benefits of Free Issue Catering

  1. Enhances  Employee Wellbeing
Free issue catering allows businesses to show their commitment to employee wellness, reducing absenteeism and fostering a positive atmosphere in the workplace. Providing teams with free  meals and/or snacks to look forward to is a great way to boost morale.
  2. Attracts New  Talent
Studies have shown that  catering in the workplace boosts a company’s appeal to potential employees, especially Gen Z, with 81% saying an on-site restaurant would positively impact their decision to join a company (Global Eating at Work Survey 2023).
  3. Improves Workplace Community & Culture
Offering a free catered breakfast or lunch to employees means they are more likely to eat together,  encouraging a sense of community and connection between colleagues. It also encourages people to come into the office rather than working from home, creating a more unified team.

What does a typical catering contract look like?

At Social Pantry, we assign each of our contract catering clients a dedicated workplace partner who will work with your business to find out exactly what you need. Together, we will build a bespoke contract for you, whether you want daily breakfasts, monthly lunches, or short-term or long-term catering. We’re confident that you’ll love our food, but for anyone unsure, we also offer tasting sessions, meaning you can get a taste of what to expect before you commit to a contract. Plus, once we start working together, our teams will check in with you regularly to gather feedback on all aspects of our service, working closely with you to improve our offering so it suits your needs.

The Contract Catering Process

So, you’ve enquired with us… what next?

For each enquiry that comes in, we assign a dedicated Workplace Partner, so that you always deal with the same person – this means we can build strong relationships from the start and really get to know what’s best for you and your workplace.

Your dedicated workplace partner will get in touch to organise a consultation, either over the phone, in person or by answering a few simple questions over email. This will cover the basics, including when, where and how many people you want to feed, but if you have any extra ideas or requests, this is a great time to share them. This is also a chance for our team to find out what type of catering is possible for your workplace or venue. We offer three types of catering, which will depend on the facilities available at your chosen location. For those with a kitchen on-site, we can move in with a team of our chefs and servers to execute the whole service from start to finish. For those without, we can either prepare all the food off-site and set it up at the office, styled and served, or we can drop it off in eco-friendly compostable boxes.

Once we know when, where and how you’d like your catering delivered, we’ll send you our latest menu. Good food has always been at the forefront of what we do at Social Pantry, and each month, our super talented team of chefs get together to create a new menu full of creative, exciting dishes that make the most of the best seasonal and local produce we can get our hands on. We send these menus out to our contract catering clients monthly, giving you the chance to choose from a range of different breakfast, lunch, drinks and snack menus, but there is also the option to go ‘off menu’ and request something bespoke.

Not sure exactly what you’re after yet? There’s no need to commit to lengthy contracts from the get go – we are always happy to offer a trial period so you can decide what works best for you. But more often than not, we work with our contract catering clients on a long-term basis, becoming an extension of their (and hopefully your) team.  Our dedicated workplace teams will check in with you after each service to gather feedback on all aspects of our service, working closely with you to improve our offering so it suits exactly what you need.

How can contract catering be used?

  • Regular catering services
  • Meetings & hospitality
  • Minor milestones & celebrations (Where a full event with venue, banquet, entertainment, etc might be too much)

With over 13 years of contract catering experience behind us, we really have catered it all.  As well as regularly feeding office teams across the capital with daily or  weekly breakfasts and lunches, we also cater for other regular but less frequent occasions. This includes providing meals for monthly team meetings, conferences and away-days; quarterly company milestones like awards dinners and parties; hospitality tents at brand or sporting events and more.

We think it’s important to keep things fresh and engaging, so we build out a calendar of key moments for our clients that’s packed full of ideas on how to celebrate any cultural or sporting moments across the year. International Ice Cream Day? Sourdough September? National Curry Week? Whatever the occasion for bringing the team together over something different, it’s on the menu.

Are contract catering menus customisable?

Each month at Social Pantry, led by our Head of Development, Sarah Turner, our chefs create a new contract catering menu that’s packed with innovative seasonal dishes. The menus include a wide range of options that businesses can choose from, including hot and cold breakfast and lunch pots, larger sharing-style plates, platters and salads; bagels, sandwiches and bento boxes; desserts and afternoon treats; and coffees, teas, and juices. These menus are designed with different diets in mind so there are plenty of vegetarian and vegan options included, however we can also customise dishes to cater for other dietary and cultural requirements.

If you would prefer the catering to be totally unique to your business, we are more than happy to create a bespoke menu pack for you – just speak with one of our dedicated workplace partners to share your ideas.

Does contract catering produce a lot of waste?

Delivering delicious food sustainably is at the forefront of what we do at Social Pantry. We run our kitchen with a zero-to-landfill approach, using locally-sourced, seasonal produce to create exciting menus that are focussed around nose-to-tail and root-to-flower dishes. This means anything that would usually be wasted is reimagined into something even more delicious. As for any potential waste created at the workplace or business venue itself, we are adept at ensuring that we always deliver the correct portion sizes and keep packaging as minimal as possible.

The main difference between contract catering and event catering is regularity – event catering means providing food and drinks for a one-off experience like a wedding or a celebration dinner, while contract catering is booked with some form of regularity, whether that’s daily, weekly, monthly, quarterly or annually.

Another key difference is in the relationship between the client and the caterer. With contract catering, we work with businesses over a period of time, so are able to better understand the needs of you and your company and create a service that is completely aligned with your needs so that we can fit seamlessly within your business.

The venues involved in each type of catering are also usually different. While Social Pantry has catered many incredible one-off events in iconic and beautiful venues like Tower Bridge, Hampton Court Palace and Somerset House, our contract catering is mostly booked for offices and other inner-city workspaces.

At Social Pantry, we offer three different options for preparing and serving our food & drink: In House, Styled & Served and Drop Off. Each of these options has been designed to make life as easy as possible for your business, including minimising waste. If you opt for either In House or Styled & Served options, members of our team will be sent to your office to deal with everything from set-up to clean-up. As for Drop Off, we will deliver food in eco-friendly, biodegradable packaging, meaning all you’ll need to do afterwards is dispose of these in a composter or food waste bin.

To read more about these options, visit our contract catering page.

When it comes to Social Pantry’s capacity for contract catering, there really is no limit. We have over 13 years of contract catering experience for businesses of all sizes, from small meetings to large businesses of over 500 colleagues.

In short, no. We offer two different options for businesses that don’t have a kitchen on-site:

Our ‘Styled & Served’ option means we will fully prepare your food at Social Pantry HQ, then deliver it to your workplace in beautiful serveware, ready to be set up as a styled food station by our front of house team.

For teams that like to keep it super simple, our Drop Off service is exactly what it sounds like – your food arrives, boxed up in eco-friendly, biodegradable packaging, just in time for service.

Absolutely! Our monthly menus offer extensive vegetarian and vegan options and we can also customise dishes to accommodate dietary requirements such as dairy, wheat, soy or nut free diets and cultural requirements like halal and kosher.

We can provide contract catering as frequently or infrequently as you need, whether you’re looking to provide your business with daily breakfasts or lunches; all-day dining for your monthly meetings and conferences; or food and drink for your quarterly team social.
